Description
Be the organisational anchor of our Bonn headquarters
The Front Office at FLOCERT is a central operational interface – not a classic reception role. As Front Office & Business Support Coordinator (Reception / Front Office & Office Support), you combine a professional front desk presence with structured first-level support across HR, office administration and event logistics.
Working in a two-shift model between 08:00 and 17:30, you ensure consistent front office coverage and contribute directly to the smooth day-to-day operations of our headquarters. The role sits at the centre of daily office life and offers high visibility, clear responsibility and direct interaction with a wide range of internal and external stakeholders.
Your role at a glance
You are responsible for the professional operation of the front office and act as the first point of contact for staff, visitors and service providers. Through hands-on coordination and reliable support, you contribute to efficient internal processes, HR operations and the successful delivery of internal meetings and events.

Your responsibilities
- Ensure professional reception operations and front desk coverage within a two-shift model (aligned with SLA requirements)
- Act as first point of contact for visitors, staff and external partners; manage access, enquiries and communication flow
- Operate central switchboards and reception channels; triage requests and route them efficiently
- Provide first-level support for meeting rooms, conference technology and office facilities; coordinate external service providers
- Support HR and Operations with onboarding activities, administrative coordination and internal communication
- Coordinate logistics for internal meetings, workshops and events, including rooms, catering and on-site support
- Contribute to a well-functioning office environment, including kitchen and canteen oversight
Your qualifications, experience and skills
- Completed vocational training in an office-related field (e.g. IHK apprenticeship) or comparable practical qualification
- Solid experience in reception, service desk, customer support or administrative coordination roles
- Fluency in English (C1); comfortable working knowledge of German
- Strong service mindset with clear, calm and resilient communication
- Confidence in handling Office 365, MS Outlook, MS Teams and administrative tools
- Structured, reliable and detail-oriented working style; able to prioritise under time pressure
- High sense of responsibility, punctuality and ownership for smooth daily operations
- Experience working in international or intercultural environments
- Personal values and motivation aligned with working in a mission-driven, social enterprise context
